How to Plan a Private Dinner That Actually Works

After hundreds of private events, our coordinator can predict which dinners will run smoothly from the first phone call. These are the decisions that make the difference.

Decide the occasion before the menu

The dinners that fail are the ones that try to be two things at once. A farewell dinner for a colleague, a product celebration and a family reunion all want different pacing, different noise levels and different endings. Tell your coordinator the occasion first and honestly; every other decision, the room, the menu, the run sheet, follows from it.

The second decision is harder: who is the evening actually for? A dinner for the boss looks different from a dinner the boss is throwing for the team. Once you know whose experience matters, the room choice usually makes itself. Our events page maps the three rooms to the occasions they suit.

The details that quietly wreck evenings

Speeches are the classic. Nobody tells the kitchen about the toast until the mains are plated, and then twenty minutes of speeches means twenty minutes of food dying under lamps. Tell the coordinator about speeches, presentations and surprises at the briefing, and the kitchen will build pauses around them.

The other classic is dietary data arriving late. A vegan guest discovered at the table gets a compromise dish; a vegan guest disclosed a week out gets a menu written for them. Collect requirements when you send invitations, not after.

Let the room do some work

Pick a room with a view, an open kitchen or a terrace before you spend on decoration. The harbour at dusk does more for a dinner than centrepieces ever will.

Give the evening one ending rather than three. A planned finish, whether it is a toast, a group photo or a move to the cocktail bar, lands better than a dinner that fades out.

And hand the run sheet to the coordinator. The best hosts at private dinners are the ones who are guests at their own party.
